Your responsibilities

  • We are seeking a detail-oriented and proactive Senior Logistic Specialist to join our team. The ideal candidate will contribute to maintaining logistic, warehousing, customer services and administration processes and ensuring compliance with all relevant regulations. This role requires a strong foundation in SCM, Customer Service and Quality compliance, and collaborative communication with internal and external stakeholders.
  • Logistics
  • Oversee inventory levels and coordinate ordering of goods and samples from HQ.
  • Manage procurement planning, ordering processes, deliveries.
  • Monitor product expiry dates and ensure regulatory compliance.
  • Conduct quality control upon receipt of medical devices and maintain SOPs .
  • Supervise the purchase and sales process, including: Customer verification, Validation of orders, Payment tracking checks prior to order fulfilment, Issuance of sales and warehouse documents, Preparation of shipments and waybills, Deliveries and complaints handling.
  • Ensure accuracy and correctness of records in warehouse and accounting systems.
  • Perform monthly inventory reconciliation in the ERP system.
  • Coordinate year-end inventory audits with external auditing firms.
  • Customer Service
  • Supervise and process sales, warehouse, and delivery documentation
  • Prepare product, customer, and sales trend analyses.
  • Prepare sales statistics and performance reports.
  • Support implementation of new features and updates in the online store.
  • Provide technical support for the company website in coordination with HQ.
  • Monitor and coordinate sales representatives budgets (samples, promotional expenses).
  • Coordinate preparation of materials for medical events, based on specifications.
  • Manage post-training inventory reconciliation based on usage reports.
  • Organize and prepare the training room for internal and external events.
  • Administration
  • Ensure proper documentation flow within the unit and in coordination with HQ.
  • Oversee contracts with external vendors (transport, courier, IT, fleet, subcontractors).
  • Order office supplies and manage logistics for employee and client travel/hotel bookings.
  • Maintain records of office materials, administrative and HR documents.
  • Provide support related to employees onboarding and offboarding.
  • Liaise with customs agencies and regulatory bodies (URPL) regarding product portfolio.
  • Manage medical device certification processes in cooperation with HQ.
  • Report changes related to product registration to relevant authorities.
  • Collaborate with the Health & Safety Officer to ensure compliance with workplace regulations.
  • Work with the Data Protection Officer (RODO) to ensure GDPR compliance.

Employer requirements

  • Bachelor’s degree in logistics, administration, finance, or a related field is required.
  • Minimum of 8 years of experience in Supply Chain and Warehouse Management.
  • Proficiency in Microsoft Excel and strong analytical skills.
  • Knowledge of ERP systems.
  • Fluency in English & Polish.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to work collaboratively in a team and communicate effectively with stakeholders.
