Your responsibilities

  • Facility Maintenance & Repairs: Coordinate with external vendor to schedule routine maintenance, repairs, and upgrades for the building, including HVAC, plumbing, electrical, and other essential systems. Ensure all work is completed in a timely manner.
  • Support store openings including new, refits, relocations & closures. Coordinate with internal partners e.g. Real Estate, IT etc and manage the set up with external vendors and suppliers.
  • Vendor Management: Serve as the point of contact for our external service provider. Assist with preparing Vendor Creation, Purchase Orders, Goods Receipt and Invoice Management.
  • Health and Safety Compliance: Ensure the facility complies with all relevant health and safety regulations, including conducting safety audits, managing emergency procedures, and providing staff with necessary safety information and training.
  • Troubleshooting & Issue Resolution: Respond promptly to facility-related issues reported by employees, troubleshooting problems and finding solutions efficiently. This includes resolving heating, cooling, lighting, or other operational concerns.
  • Administrative Support: Maintain accurate records of maintenance activities, work orders, inventory, asset registers and other related documentation. Prepare reports as required by management.
  • Budget Management Support: Assist the Facilities Manager in preparing and managing the facilities budget, tracking expenses, and identifying cost-saving opportunities.

Our requirements

  • Minimum of 2-3 years of experience in facilities management, office administration, or a similar role.
  • Fluency in English is required, plus in at least one of the following languages: French, Spanish or Italian.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of building systems and maintenance procedures is a plus.
  • Ability to troubleshoot basic maintenance issues.
