Requirements description

  • a minimum 1–2 years of experience in an assistant role supporting C-level executives, Board members, or senior management
  • experience managing executive-level travel and logistics across multiple time zones
  • excellent organizational skills and attention to detail
  • ability to prioritize and manage multiple responsibilities in a fast-paced environment
  • a proactive, solutions-oriented mindset with a high level of accountability
  • strong interpersonal skills with the ability to build trusted relationships across all levels of the organization
  • high degree of discretion when handling sensitive and confidential matters
  • familiarity of Microsoft Office products and digital collaboration tools (e.g. Teams, Outlook, JIRA, Confluence, Slack)
  • excellent written and verbal communication skills in English (B2+) and Polish (native or near-native)

We’re on the lookout for an enthusiastic, detail-oriented, and proactive Administrative Assistant to join our team! In this dual role, you’ll be supporting our executive team and making sure the office runs like clockwork every day.

You’ll play a key part in keeping things organized, handling day-to-day tasks, and making life a little easier for everyone—especially our Board. Your responsibilities

  1. managing the Board’s meeting calendar and coordinating with internal and external stakeholders, including C-level executives and department heads
  2. organizing Board meetings, including preparing meeting rooms, arranging catering, and tech setup
  3. handling complex international and domestic travel arrangements for Board members and other teams members, including preparing itineraries, booking accommodations, organizing transport, and completing expense reports
  4. acting as a communication bridge between the Board and departments, ensuring timely information flow and maintaining professional correspondence
  5. managing confidential information with discretion and professionalism
  6. preparing and tracking expense reports for Board members, ensuring accuracy and timely reimbursement
