Your responsibilities

  • HR Administration & Payroll
  • • Coordinate and oversee payroll and HR administration processes in cooperation with the external payroll provider in Poland and EORs in other locations.
  • • Verify payroll inputs and outputs, ensuring data accuracy and compliance with local regulations.
  • • Manage the full employee lifecycle: onboarding, changes, and offboarding.
  • • Manage the flow of employee documents – preparing, reviewing, and archiving contracts, amendments, and other HR documentation.
  • • Maintain accurate and up-to-date employee data in the HR systems (PeopleForce, Symmetrical); perform regular audits and ensure data integrity.
  • • Support internal and external HR reporting on headcount, payroll, and workforce analytics.
  • HR Operations & Compensation & Benefits
  • • Support daily HR Operations processes, including documentation, standardization, and improvement of workflows.
  • • Assist with Compensation & Benefits administration – maintain benefits data, coordinate benefit providers, and support annual compensation reviews.
  • • Partner with global HR and Finance teams on salary review cycles, cost analyses, and benchmarking.
  • • Prepare HR and payroll-related reports and ensure alignment with company policies.
  • Global Employment & Mobility
  • • Coordinate relocation and immigration processes for employees relocating to or within Poland and other countries.
  • • Support employees in obtaining local work and residence visas (in cooperation with external immigration and legal partners).
  • • Monitor and interpret changes in global employment, mobility, and visa regulations, ensuring company compliance.
  • Policies, Procedures & Systems
  • • Develop, update, and implement HR policies and procedures in line with local legal requirements.
  • • Administer and continuously improve the PeopleForce HR system
  • • Ensure data accuracy and GDPR compliance across all HR systems and records.
  • • Identify opportunities to automate, simplify, and standardize HR and payroll processes.

Our requirements

  • 5+ years of experience in HR administration, payroll coordination, or global mobility.
  • Strong attention to detail, analytical mindset, and ability to work independently in a fast-changing, global environment.
  • Strong understanding of Polish labor law and payroll processes.
  • Experience in working with external HR and payroll providers.
  • Hands-on experience with HR systems (PeopleForce experience is an advantage).
  • Good knowledge of Compensation & Benefits and HR Operations processes.
  • Excellent Polish and English skills (C1 level or higher).

Optional

  • Familiarity with immigration processes and supporting employees in obtaining local visas and work permits is a plus.
  • Understanding of international employment models is a plus (EoR, B2B, relocations, virtual setups).
