About Havaianas:

Havaianas is the largest brand of flip flops in the world and is increasing the product offering in apparel, accessories and new styles of footwear. The iconic design of its classic flip flop has been unchanged for 60 years and represents the most timeless design in open toe footwear. The brand is geared for growth in the US with 6+ stores, Havaianas.com, and surf specialty, apparel specialty, and presence in major department stores. Alpargatas is making significant investments in the North America & Caribbean operation to ensure Havaianas will take a leadership position in the market in the coming years.

Purpose of the Role:

With goal of becoming #1 flip flop brand in the US, this position will provide the President and US Senior Management team with general administrative support while maintaining a neat and organized office.

*This is a Hybrid position. Candidate must live in the New York area and must be willing to work at our New York, NY HQ up to 3x per month.

**Part Time position - 24 hours/week

Key Duties and Responsibilities

  • Provide administrative support to President
  • Book travel and process expense reports for Senior Management team
  • Manage and properly distribute mail to appropriate departments
  • Maintain an organized and clean appearance for all common areas including kitchen, conference room, showroom and bathrooms
  • Maintain an organized supply closet and place orders on an as needed basis
  • Maintain a polish and professional appearance to greet vendors and office visitors
  • Manage conference room calendar and room reservation process
  • Coordinate set up for general business meetings, including but not limited to placing catering orders and room set up
  • Initiate equipment and workspace set up for new employees.
  • Handle communication and issues with external vendors related to property management company
  • Assist Senior Management team on special projects on an as needed basis.

Skills and Qualifications:

  • 2+ years of Office Management or Executive Assistant experience
  • Experience working and communicating with senior level executives
  • Highly organized with strong attention to detail
  • Excellent interpersonal relationship skills
  • Excellent written and verbal skills
  • Resourceful and able to execute tasks with minimal supervision
  • Ability to multi task and handle competing priorities
  • Displays good judgment and confidentiality when working with sensitive material
  • Proficient in Microsoft Excel, Word, PowerPoint and Outlook
