Your responsibilities

  • Validate purchase requisitions for the entire entity (using the Basware tool).
  • Check and validate employee travel requests (through the Amex Neo tool).
  • Enter and manage expense claims (using Concur).
  • Organize travel arrangements for multiple employees, coordinating with the travel agency or utilizing the Amex Neo tool.
  • Create and update organizational charts to reflect current team structures.
  • Develop and maintain a SharePoint site for efficient information sharing and collaboration.

Our requirements

  • Experience: A first experience in a similar position is preferred.
  • Technical Skills: Proficient in Microsoft Word, Excel, and Outlook. Familiarity with specific software such as Basware, Amex Neo, and Concur is a plus.
  • Highly organized and meticulous in task execution.
  • Ability to manage multiple tasks and prioritize effectively to meet tight deadlines
  • Strong communication skills, both written and verbal.
  • Discreet and respectful of confidentiality in all matters.
  • Capable of following instructions accurately and providing constructive feedback on completed tasks.
  • Ability to navigate in a complex organization.
  • Adaptability and the ability to acquire new skills efficiently
  • Real team player, building a tandem with other executive assistants
  • Polish and English skills at a very good level in speaking and writing
