Your responsibilities

  • Provide support to Krakow employees, visitors, guests, supplier and vendors.
  • Be responsible for an access Control - door opening + service of entrance cards (cards distribution, transmission / changes of regular accesses).
  • Greet visitors and callers, handle their inquiries and direct them to the appropriate persons according to their needs.
  • Sort and distribute incoming post; organize and send outgoing post.
  • Order office supplies & Herbalife products.
  • Maintain the office /report faults etc.
  • Book travel and clear expenses for VP’s.
  • Organize guests visits (hotels, transfers, etc.).
  • Provide service of visits (preparation of beverages, catering, etc.).
  • Greet visitors and callers, handle their inquiries and direct them to the appropriate persons according to their needs.
  • Prepare visa invitations.
  • Sort and distribute documents requiring the signature of the GBS director.
  • Create POs and monitor invoices based on the contract provisions.
  • Sort and distribute documents/contracts/annexes that need to be uploaded to the company's system.
  • Ensure that the office is fully equipped with groceries, company products and office supplies.
  • Ensure office cleanliness through regular coordination with cleaning service
  • Organize internal and external events.
  • Maintain the image of the office and administration.
  • Support with employee onboarding/offboarding
  • Other administrative tasks upon request.

Our requirements

  • 1 year of experience in similar role/international environment.
  • Fluent Polish (spoken and written).
  • Fluent English (spoken and written).
  • Good attitude, open minded, friendly.
  • Flexible and organized.
  • Multitasking skills.
  • High communication skills.
  • Very good manners, able to communicate with employees at all levels.
  • Practical experience with MS Office and office devices.
  • Very good time management.
  • The ability to solve problems quickly.
  • Customer focus experience, engagement and care.
  • Going above and beyond daily routines.
  • Negotiation skills.
